How many artists do I need for my headcount?
Artist-to-headcount ratio guide
Our general rule of thumb is 1 artist per 3–4 people for camera-ready first looks. However, timeline constraints directly determine team sizing. Here is how we evaluate your schedule:
Service time breakdown
• Men's camera-ready makeup: 15 minutes (headshots, corporate video, TV segments)
• Women's touch-up & polish: 20 minutes (quick refresh, natural corporate look)
• Hair styling: 30 minutes (polished corporate or on-stage looks)
• Women's full face makeup: 35 minutes (photography, on-camera talent, speakers)
• Full speaker glam (hair + makeup): 1.5 hours (keynote speakers, MCs, stage presentations)
Scaling your team
For high-volume or compressed schedules, we deploy additional artists for fast touch-up stations, multi-station headshot setups, or tight morning call times. For VIP and lead talent on camera 4+ hours, we recommend two dedicated artists—one for initial glam and one for continuous on-set touch-ups.
Real-world examples
• Corporate headshot day (20 people, 4 hours): 2–3 artists
• Panel discussion (6 speakers, 2-hour window): 2 artists
• All-day conference (1 keynote MC + 30 attendee touch-ups): 2 artists
• Live broadcast (3 on-air talent, 6-hour shoot): 2–3 artists
Share your headcount, call times, and event format, and our team will prepare a precise staffing schedule for your production.

We routinely sign NDAs for corporate clients, production companies, and high-profile talent. Whether you are launching a confidential product, filming unreleased content, or working with public figures, your privacy and intellectual property are fully protected.

Booking timeline and availability
2–4 weeks advance notice is our sweet spot—but we are known for making short-notice requests happen.
Recommended booking windows
• 2–4 weeks ahead (ideal planning window): Confirms your preferred artists, coordinates multi-artist teams for large groups, schedules site visits if needed, finalizes service details and timing, and locks in your date with full team availability.
• 1–2 weeks ahead (usually available): We maintain flexible scheduling and can typically accommodate weekday corporate shoots, small to medium teams under 15 people, and standard daytime call times.
• Short notice under 1 week (contact us immediately): We frequently handle last-minute requests for emergency corporate headshots, unexpected media appearances, production schedule changes, or replacement vendor needs. We maintain active relationships with a vetted roster of certified artists and prioritize rapid client turnaround.
Peak season considerations
We recommend booking 4–6 weeks in advance during high-demand windows across the Denver metro area:
• Conference season (September–November, March–May)
• Q4 corporate events (October–December)
• Award season (January–March for media and entertainment)
• Major Denver conventions, festivals, and large-scale commercial productions
During peak periods, artist availability tightens and rates may reflect premium scheduling.
What happens after you book
• Immediate confirmation: We issue a clear booking confirmation detailing artist assignments, timeline breakdown, and arrival logistics.
• 1 week before: We confirm final headcount, any service adjustments, and on-site access specifics.
• Day of shoot: Artists arrive 30–45 minutes early for setup and remain until your last team member is camera-ready.
Flexibility for fast-moving productions
Production schedules shift, and we accommodate dynamic sets with schedule and call time adjustments (with advance notice), headcount modifications up to 48 hours prior, weather-related outdoor shoot rescheduling, and extended on-set hours when your shoot runs long.

Union experience, protocols, and production compliance
IATSE and SAG-AFTRA expertise
We are well versed in IATSE standards and protocols across all hair and makeup departments. We respect on-set chain of command, union timecards, reporting, meal penalties, turnaround windows, and overtime/double-time rules. When working with SAG-AFTRA talent, we prioritize talent privacy, required breaks, and transparent communication with talent representatives.
Union rate structures & production accounting
We accommodate union scale rates for IATSE productions, above-scale negotiations for department leads, standardized kit rental fees, holiday rates, and travel per diems for distant locations. For production accountants, we submit clean I-9s, W-4s, certificates of insurance, and background checks, invoicing smoothly through your established payroll system with timely weekly or wrap-based submissions.
Professional set etiquette & continuity
Our artists know the floor: we maintain headset etiquette, honor call times, work closely with 1st ADs, and collaborate across wardrobe, camera, lighting, and sound. Detailed continuity logs and photo records ensure precise matching between setups. On non-union productions, we bring the exact same rigor, punctuality, and craft with flexible rate structures tailored for commercial, corporate, documentary, and independent projects.
